Privacy Policy
Last updated: October 15, 2026
This policy explains what HelpDesk Nova collects when you use helpdesknova.com and app.helpdesknova.com, how we use it, and the choices you have. HelpDesk Nova is operated by EBIZMATRIX, Spotswood, New Jersey, USA. You can contact us at helpdesknova.support@gmail.com.
1. Information we collect
Account information from Google
When you sign in with Google, we receive your name, your email address, and your profile picture from Google. We never receive your Google password.
Workspace information
- The workspace name, its web address, and the plan it is on.
- Who belongs to each workspace and their role: owner, admin, agent, or requester.
- Requests to join a workspace and whether an admin approved or rejected them.
Help desk content
- Tickets: title, description, category, priority, status, and the requester and assignee.
- Comments on tickets. Comments marked internal are visible only to owners, admins, and agents.
- Timestamps for when tickets are created, changed, and resolved, and the person who set a ticket to Resolved.
Usage counts
We keep counts needed to apply plan limits, such as tickets created this calendar month, staff seats, and requesters.
Technical information
Our hosting providers keep standard server records, such as IP address, browser type, and the time of each request.
Browser storage
We store your sign-in session and your light or dark theme choice in your browser. We do not use advertising or tracking cookies, and we do not use third-party analytics.
2. How we use information
- To create accounts and workspaces, route join requests, and show tickets to the people who should see them.
- To apply plan limits and to calculate invoices, based on seats, requesters, and ticket volume.
- To show insights, including each agent's created and closed tickets, to the staff of that workspace.
- To keep the service secure, diagnose problems, and respond to support requests.
We do not sell your personal information, and we do not use your ticket content to train AI models.
3. Who can see what
- Owners and admins see all tickets in their workspace, team members' email addresses, and join requests.
- Agents see all tickets in their workspace and their own activity. They also see workspace-wide insights.
- Requesters see only the tickets they created. They cannot see internal comments.
- Other workspaces cannot see your workspace's data. Access is enforced in the database for every query.
4. Service providers
We use these providers to run HelpDesk Nova. They process data only to provide their services to us:
- Supabase: database, sign-in, and data storage.
- Cloudflare: hosting for helpdesknova.com and app.helpdesknova.com.
- Google: sign-in with your Google account.
We will update this section before we add any new provider that handles your data.
5. Payments
Online payments are not yet live. Until they are, invoices are issued for each billing period and paid as agreed in writing. When online payments launch, this policy will describe the payment processor that handles card details. We will not store card numbers ourselves.
6. How long we keep information
- We keep workspace data for as long as the workspace is active.
- When a workspace owner asks us to delete a workspace, we delete its tickets, comments, and membership records within 30 days. Backups are overwritten within 90 days after that.
- Invoices are kept for the period required by tax law.
7. Your choices and rights
You can ask us to access, correct, export, or delete your personal information by emailing helpdesknova.support@gmail.com. We respond within 30 days. You can also ask a workspace owner to remove you from that workspace. If you are in the EU, UK, or another region with similar laws, you also have the right to lodge a complaint with your local data protection authority.
8. Security
All traffic uses HTTPS. Workspace data is protected by row-level security rules in the database, so a request returns only the rows the signed-in person may see. No system is perfectly secure, so please use a strong Google account and tell us right away if you think your account is compromised.
9. Children
HelpDesk Nova is for businesses and their staff. It is not directed to children under 16, and we do not knowingly collect their information.
10. International transfers
Our providers may store and process data in the United States and other countries. Where required, they rely on approved transfer mechanisms.
11. Changes to this policy
If we make material changes, we will update the date at the top and email the owners of each workspace before the change takes effect.
12. Demo workspace
When you use our demo, we ask for your name and email address so we know who tried it. We store your name, email, and the times you visited the demo, and use them to follow up about HelpDesk Nova. Demo data is reset every night, and we don't use demo details for any other purpose. You can ask us to delete your demo details by contacting us at helpdesknova.support@gmail.com.
13. Contact
Email helpdesknova.support@gmail.com. For the legal entity and address, see the first paragraph of this policy.
